Introduction
What CalendarBook is, how it fits together, and your first booking from sign-in to the board.
CalendarBook is appointment booking for businesses that hand out time: clinics, salons, sports venues, restaurants and anyone else with a diary. Customers book from your own page, your team books from the board, and every booking is kept in step with the right Google Calendar — in both directions.
How it fits together
- Organization. Your business. Everything belongs to one: its calendars, bookings, customers, team and plan. Each organization has a database of its own, separate from every other one. You can belong to several and switch between them from the top of the app.
- Calendar. One bookable thing — a doctor, a stylist, a chair, a court, a table. Each calendar is linked to a Google calendar and carries its own appointment length, open hours and rules. See Calendars & hours.
- Booking. A customer, a calendar, a date and a time. Bookings are Pending, Confirmed, Completed, Cancelled or No show; the first three hold the time.
- Customer. Anyone who books is added to your customer directory automatically, matched by phone number first and then email.
- Team. People you invite, each with a role — Owner, Admin, Provider or Staff — that decides what they can see and change. See Team & roles.
Your first booking, step by step
- Create your account. Go to Start free and choose Sign up with Google, or give your name, email and a password and confirm your address with the 6-digit code we email you. The first time, an organization is created for you automatically (called "your name's schedule" — rename it in Settings → Organization), and the 14-day trial of the paid features starts.
- Connect Google. Open Google Calendar in the left rail and choose Connect an account. Approve access at Google; you come back to a list of that account's calendars. See Google Calendar.
- Link the calendars that take bookings. Within the next 15 minutes, choose Link next to each calendar that should take bookings — one per doctor, chair or court. No Google calendar for a room yet? Use New Google calendar to create one and link it in one step.
- Set the hours. Open each linked calendar's Settings and set the appointment length, the open hours for each weekday, and how much notice you need. See Calendars & hours.
- Share your booking page. In Settings → Booking page, copy
your link (it looks like
/book?org=your-name) and put it on your website, Google Business profile, Instagram bio or WhatsApp. See Your booking page. - Watch the day fill up. Open Schedules to see the board: every calendar side by side. Click an empty time to book someone in yourself. See The board & bookings.
Finding your way around
On a computer the app has a narrow rail down the left. From the top:
| In the rail | What it is |
|---|---|
| Home | Today's numbers, what is up next, the last 14 days and where bookings come from. |
| Schedules | The board: one day, every calendar side by side. |
| Customers | Everyone who has booked, with their history. |
| Holidays & leave | Days the organization is closed and who is away when. |
| Google Calendar | Connected accounts and linked calendars (admins and owners). |
| Settings | Your profile, the organization, users, the booking page, tags, closures, plan and backup. |
| Your picture | Your profile, at the foot of the rail. |
On a phone the same sections sit in a tab bar along the bottom. A Trial badge shows while your organization is in its trial.
The Home page
- Today — how many bookings, how many are confirmed, completed and lost (cancelled or no-show), and how many are still to come.
- This week, this month (against the same point last month), revenue collected and new customers.
- Up next — the next bookings in order, with a link to the board.
- Last 14 days — a chart with the busiest day marked.
- Calendars — bookings per calendar today and this month.
- Month so far — completed, no-shows, cancelled, new customers and the show-up rate.
- Where bookings come from — the app, the public page or Google.
Providers see the same page for their own calendar only.
